5 Tips for Efficiently Managing Tasks in Digital Health

As a startup and especially one in healthcare, there are a lot of moving parts, to say the least.

Because of that, it’s vital to have an efficient and robust way of managing tasks so you can keep track of what needs to be done either internally or for patients.

Aside from just having a task management system that’s HIPAA-compliant, there are many additional considerations that should be made for how your team manages and tracks tasks.

In this blog, we’ll highlight five tips that will enable your digital health startup to more efficiently manage tasks.

1. Retire spreadsheets

While spreadsheets are great for certain things, they can become unwieldy as tasks start to pile up. 

Having to scroll this long list of previously completed or outstanding tasks not only is a waste of time for your team, but it can also be difficult to ensure that data is always correct if there are a lot of collaborators.

Moving from a spreadsheet to a ticketing or task management system can give your team a much cleaner snapshot of what matters and its status.

2. Connect your other tools to your task management system

More likely than not, a task is going to be created as a result of something that just took place like needing to remember to fill a prescription after you’re done having a visit with a patient.

Assuming you’re having a virtual visit, it’d be tedious to have to jump between where you’re having a video call, taking appointment notes, and where a task is created.

With an integrated task management system, you’re able to more easily stay focused and ensure that you don’t forget to make a task or do something later.

3. Create automations based on tasks

Piggybacking off of the last suggestion, if your task management system is siloed from the rest of your tools, the likelihood you can automate things based on the outcome of a task is slim.

For example, you may have a task to call a patient about something. Whether or not the patient answers, you may want to do different things such as sending them a follow-up text in a couple of days.

When tasks are connected to other systems and have the ability to add automation, instead of remembering and having to send the text yourself or creating a new task, many systems would let you specify that if there wasn’t an answer, send a text from your texting service.

4. Enable real-time collaboration

Oftentimes, there can be multiple people involved with either smaller parts of a larger task or that need to review something before it’s considered complete.

Without a way for teammates to comment or re-assign tasks, it either leads to additional back-and-forth communication or tasks not being completed because its delegation was unclear.

With a task management system that supports easy collaboration, it reduces unnecessary conversation and the risk that something falls through the cracks.

5. Increase audibility and visibility

Usually, there’s more that needs to be known about a task aside from just whether or not it’s been completed. 

As mentioned in the previous bullet, collaboration and comments are another piece, but so is the priority and status of a task to know if it’s unclaimed, in progress, being reviewed, and done.

Being able to see these things will allow your team to ensure that the highest-priority tasks are being worked on and which can be done. 

Additionally, having a record of all completed tasks gives your team a gut check that what is claimed to be done is actually done.
